Document Storage Solutions & Systems
Welcome to our
document storage page! Since
paper documents can be really fragile,
susceptible to rain, wind,
moisture, sun and every
other environmental factor out there it is important to
keep them safe. There are ways to do it the old fashion
way, by placing them in safes,
archival or documents
boxes but these are always a bit risky. If and
when a major catastrophe such as a hurricane or tornado
hits your home or storage unit, these types of
solutions will not
work.
Accidents
can come from all directions. Let me tell you a quick story, a
friend of mine had a box of very valuable
documents that he had stored in an upper floor of a secured,
heated storage building in Manhattan. Even though he was paying
good money for this privilege, one day he received a very
uncomfortable phone call. The supper found water coming from
underneath the door of his storage, after going in they both
found out the one of the heating pipes started leaking and
ruined his documents as well as a couple of very rare paintings
that he was holding. This just exemplifies that when you have
the ability to go digital, such as you can with documents, make
an extra copy and save it on the web.
Secure Online Document
Storage
Even though
you place your documents on a
thumb or a hard drive, this
is a good starting point, but it doesn't mean that your
documents are yet safe. These electronic components can also
stop working due to old age or certain weather
conditions.
Another
disadvantage is that virtually anyone can see them as well by
either looking or hacking into your computer.
If it is a thumb drive, they are very easy for
a person to steal. The best thing to do is to get your
documents stored securely online. There are some
places that allow for free storage up to a
certain amount and come with a login and password which
guarantees that no one else can access them. Since hackers can
be found everywhere, make the password long and complicated not
using your phone number, social security or birthday in
there.
Document Storage
Boxes
Regular
storage boxes work great for some documents,
but should still be stored digitally in addition. These can
withhold some moisture and area a perfect system to hold your
past tax information and other legal documents. They can be
manufactured out of metal,
wood, plastic or
cardboard and most of them can stack on top of
each other to maximize the amount the area which they are
occupying.
Document Storage
Software
There are
applications and programs
also available which can easily help scan and store your
documents on the computer. Before purchasing them, see if there
is an option where the files can be backed up online as well.
If you are spending money on keeping your documents
safe, this means that they are important to you. As I
have mentioned previously, your home and the things within it
are subject to event's beyond your control. A backed up
DVD (make two) can be placed in a very heavy
duty safe as well and this would work.
